CUSTOMER OPERATIONS ASSISTANT

VITEC solutions deliver easy-to-use technology that ensures high-quality, low-latency HD video, capturing live and recorded events for seamless distribution in a multitude of formats anytime, anywhere, to any device. This is a full-time, hourly position, with in-office working hours, Monday-Friday. 40 hours a week. Under the daily direct supervision of the Customer Operations Team Lead, the Customer Operations Assistant will perform a variety of clerical, customer service, and administrative duties to support operations and accounting activities. This role is essential in supporting the day-to-day operations in all things related to receiving customer orders, ensuring orders are processed smoothly, efficiently, and timely, while delivering quality products by following standard manufacturing procedures. Essential Functions: Customer Operations responsibilities for the management of customer orders, loans and Return Material Authorization (RMA) tracking and processing. -Point of contact for customer issues such as stock delays, shipping delays, errors, etc. Customer orders management: Order processing using current CRM (Salesforce) and ERP (Epicor) systems. Working with manager, maintaining sales order dates, customer need by and ship by dates. Split orders for shipping in both systems. Liaise with Customer Operations team on any stock issues identified. Loan management: Loan processing using current CRM (Salesforce) and ERP (Epicor). Loan stock checking. Maintain loan reports and pro-actively chase loan returns. RMA Customer communication about RMA returns. Maintain RMA reports and pro-actively chase returns. Customer estate maintenance -Updating estates in ERP for renewals and other needs. -Liaise with Customer Support, Quality Engineer and other department teams on support issues. -Prepare and email welcome pack/letters to customers and file on correct network location/folder. Basic Bookkeeping using ERP system -Process accounts receivable and email customer invoices/statements. -Enter accounts payable data based on mail received or instructions from Accounting Manager. -Ensure all transactions are properly completed in the ERP system. -Utilizes analytics to monitor and measure performance. -Other duties from time to time may be required in relation to the configuration and logistics of products. -Will act as back up for Accounting Manager on as needed basis. Qualifications Associate’s degree or related work experience preferred. Proven work experience in a technical or operations role.
