We are looking for a highly organised and customer centric individual, who will serve as the first point of contact for all group booking requests for Jamie Oliver Catherine Street and provide customer service support for the restaurant and the Jamie Oliver Cookery School. As Events Coordinator, you will play a pivotal role in delivering exceptional guest experiences by managing all event and group booking enquiries. Your primary responsibility is to respond promptly to booking requests, providing detailed information and expert guidance to ensure a seamless booking process and maximize conversion opportunities for the restaurant. You will oversee a wide range of events, including sit-down lunches and dinners, private dining experiences, corporate meetings, special celebrations such as birthdays, and canapé & drinks receptions. Your goal will be to match each group with the ideal space that suits their needs and budget, while also identifying opportunities to enhance the restaurant’s performance. This position requires close collaboration with the restaurant team to ensure a smooth transition of bookings. You will liaise with chefs, management, and front-of-house staff to finalise event details such as menu selections, drink pre-orders, and any special setup requirements. Your organisational skills and attention to detail will be key to delivering seamless and memorable events that exceed our guests' expectations. Your responsibilities include: Reservations Management: Handle all incoming group booking requests and ensure they are processed accurately and promptly. Maintain and update the reservations system to reflect current availability and bookings. Assist in optimising the reservations process to maximise occupancy and ensure efficiency. Monitor third-party booking platforms to ensure seamless integration with the internal reservations system. On request, be available to give prospective clients a tour of the restaurant and take part in PA and Networking events to showcase the restaurant and arrange menu sampling or wine tasting if required Build a network of loyal customers and proactively seek to engage with new customers through third party platforms Customer Service Support: Respond to customer enquiries via phone, email, and in-person, ensuring all communications are professional and courteous. Assist in resolving customer complaints related to reservations, providing a positive resolution and maintaining high customer satisfaction. Support the implementation of customer service policies and procedures Administrative Duties: Keep the events calendar updated and create function sheets for each event Reconcile events on a weekly basis reviewing forecast sales vs actual sales Upload menus onto the businesses pre-ordering system and managing seasonal tweaks to the menus Monthly reporting, benchmarking and competitor analysis Provide support to the Jamie Oliver Cookery School Customer Service Team during peak times Perform general administrative tasks such as filing, data entry, and document management to support the administration team. Assist with scheduling meetings, preparing reports, and maintaining office supplies and equipment. Support the coordination of training sessions and team meetings as required. Prepare and distribute internal communications to ensure all staff are informed of updates and changes. WHAT YOU NEED TO KNOW Proven experience in a similar administrative or reservations role within a customer-focused environment. Proficiency in using reservation systems and general office software (e.g. MS Office Suite). Excellent organisational skills with the ability to multitask and prioritise effectively. Strong communication skills, both written and verbal, with a customer-centric approach. Attention to detail and the ability to handle sensitive information with confidentiality. A proactive and positive attitude with a commitment to delivering high-quality work. Strong problem-solving skills with the ability to think on your feet and manage unexpected situations. Ability to work independently as well as part of a team, with a collaborative approach to tasks.
